Application of SIMAIK-PT Makes Administrative Staff of IPB Achieve National Award Wednesday, November 05, 2014

In 2014, Directorate of Educators and Education Personnel (DIT. Diktendik), Directorate General of Higher Education (DGHE) again held a national selection of educators and educational/administrative personnel showing achievements. These awards are given to students, educators, and administrative staff who have demonstrated achievements in Indonesia, including financial staff.

Anwar Sham, SE, a staff of the Internal Audit Office, IPB (now a staff of Procurement Services Unit of IPB) is awarded as the 1st Winner of Financial Staff at National Level of 2014. He has created an Internal Audit Monitoring System of Finance for Higher Education (SIMAIK-PT) as his innovation work.

"This system is to see to what extent the internal and external examination results are in the financial management. So far, the existing system has not been able to see the critical points of the examination results. The target of application is all leaders of the working units, even the leaders of IPB can determine the critical points," said Anwar.

SIMAIK-PT has some advantages. In terms of time, conventional application takes 30 day, whereas this application only takes one day. This application also reduces the human resources required, from five to only one person. Furthermore, it cuts the work cost and speed and makes it easy to retrieve data.

The report of the follow-up audit (TLHA) that has been made can be directly seen up to date in this application. It can also generate reports of hard copy and soft copy. It is based on Microsoft Excel, which is familiar to use, and can automatically see, categorize, and summarize the institutional findings of critical points based on the codification specified by the Audit Agency (BPK) of the Republic of Indonesia (RI) via BPK Decree No.5 / K /I-XIII.2/8/2010 on Technical Guidelines codifying the findings of BPK RI.

"This application is composed of four parts, namely Input, Tables, Maps of Follow-Up Audit Results (TLHA), and codification," said Anwar. Input serves as a database file of the entire existing findings of the inspection results, which in turn will be the basis of the other parts. Meanwhile, the table of findings is the track record of the number of results obtained, making it easier for leaders to see which groups have the most findings.

Interestingly, this application comes with TLHA map that serves as a finding report so that leaders can determine what finding results to focus on and can figure out which ones have and have not been followed by the college.

The man, born in Bogor 29 years, said, "This map is marked with colors. Green color indicates that the code has no finding of problem in examinations. Yellow color indicates that there are one or two findings that have not been followed up. Red color indicates that there are more than two findings that have not been acted upon. "

"Codification acts as a reference in grouping the findings of the investigation so that when the operator or leader want to know what the code means, she or he just needs to click on this section in order to understand the codes," said Anwar.

This is an early application and expected to develop as it has great potential so that leaders of the working units and IPB can access this easily online with a Local Area Network (LAN) or Wide Area Network (WAN).

"An application or system basically has the purpose of facilitating work – not making it complicated. Most existing systems now only make the job more complicated. I open up an opportunity for other colleges in financial management to develop this application for wider use. Hopefully this application can bring about transparency in financial management emerges, open information, and accountable financial management system in the sense that it is on time, effective, efficient, economical, reliable and can be accounted for, and so the results are legitimate."(Mtd)
