Wholeheartedly Work, Brought IPB Archivist Awarded Academic Achievers of IPB 2017
An archive is an accumulation of historical records or the physical place they are located. Archives contain primary source documents that have accumulated over the course of an individual or organization's lifetime, and are kept to show the function of that person or organization. Professional archivists and historians generally understand archives to be records that have been naturally and necessarily generated as a product of regular legal, commercial, administrative, or social activities. Thus, a world without archives is a world without memory, with no legal certainty, no history, no culture, and no science and no collective identity. But those files won’t become, memory, a culture, a guarantee of legal certainty, and even the building of collective identity if it is not properly and correctly managed.
Therefore, archive management is not viewed as a by-product but to support the implementation of organizational activities and is kept as evidence of policies and institutional activities.
Archiving is vitally important for information management and can give a business greater control over their information processes. As a business grows it will create more data – data that needs to be meticulously managed and monitored in order for it be utilised properly. Keeping tabs on this data can prove problematic for businesses that never put an archiving system in place. The importance of archival management within an institution is an important point in keeping valuable data, it requires archivist to handle them. It is archivist of who has high integrity and dedication, Primus Sanbein, SE (42 years old) who is responsible for records and archives at School of Graduate Studies of Bogor Agricultural University (SPS IPB). Primus made achievement as Winner of Academic Achievers of IPB for Year 2017, Category Archive.
Supported by the portfolio of his creative works, psycho test scores, and creative work presentations, Primus encouraged himself to participate in the selection for the creative work. The result of his achievement, enabled Primus to represent IPB for the national competition, where he presented his paper on “Sistem Pengelolaan Arsip Dinamis di Sekolah Pascasarjana IPB = Dynamic Archive Management System at the School Graduate Studies of IPB". Personally I was very happy as I have successfully made such achievement. I hope the management of the archives will be more developed by utilizing Information and Communication Technology (ICT), "said Primus.
While doing his duties, Primus always applies the principle of working from the heart. The man who was born in Fatubena, Timor, brought his creative ideas in the management of the archives at the School Graduate Studies of IPB.
"The archive management system starts from the creation of archives, the use / management, and the depreciation of the archives with the use of ICT in the management of archives," said Primus. As archivist who is responsible for records and archives, Primus plays important role in improving the system of records and archives, so that management of archive in this institution follow the national standard procedure for archiving. "In the management of records and archives at the School Graduate Studies of IPB, I am strongly supported by his superiors of the executives, as proven that his post is stipulated in the organizational structure. Thus he has clear job description, what should be his jobs and tasks in the management of records and archives," he continued.
According to him, the management of the archive starts from the process of creation, use, storage, and depreciation of the archives. Primus explained that an effective and efficient management system is a management system that conforms to established norms, standards and standard procedures in order to obtain an authentic, intact and reliable archive.
He hopes that archive management is not viewed as a by-product of an organization but it is created and as the unit to support the implementation of organizational activities and will maintain appropriate records and file of policies and institutional activities. (Wied)
