Archive Retention Schedule Consolidation Brings a New Era of Document Management at IPB University

IPB University is implementing strategic measures to realize accountable and digital-based archive management through the Archive Retention Schedule (JRA) Consolidation activity. 

This initiative focuses on determining the retention periods for active and inactive records, as well as their final disposition, whether they will be destroyed or preserved as permanent records.

This consolidation serves as an opportunity to build connections and strengthen commitment to collaboration in records management. 

A total of 43 participants attended, including leaders, archivists, and staff from various work units within IPB University.

Opening the session, the Chairman of the Institute of Information Management and Digital Transformation (LMITD), Ir. Julio Adisantoso, MKom, stated, “IPB Archives emphasizes the importance of awareness among all work units at IPB regarding data protection.” 

Next, a presentation on the urgency of updating the JRA was delivered by the Assistant for Digital Archives and Museum Management at LMITD IPB University, Adisti PP Hartoyo, SHut, MSi. 

“The updating of the JRA is expected to be not only a regulation but also a necessity in digital archive management,” he said. 

After the presentation session, the activity continued with a discussion session (FGD) which was divided into three groups based on the type of archives. Each group consisted of representatives from work units accompanied by two facilitators who assisted in the discussion.

This consolidation is expected to produce a comprehensive and implementable JRA, so that archives can be managed in a modern and efficient manner, thereby supporting the realization of good university governance. (*/Rz) (IAAS/HNY)
