The IPB Archives Unit Has Been the Development Model for Archiving Unit of Universities in Indonesia
An archive is an accumulation of historical records or the physical place they are located. Archives a place where public records or other historical documents are kept. contain primary source documents that have accumulated over the course of an individual or organization's lifetime, and are kept to show the function of that person or organization. Archive is a place where public records or other historical documents are kept. That is why Bogor Agricultural University (IPB) formally established the IPB Archive Unit on 14 February 2014. According to the organizational structure, the Unit has direct responsibility to the rector. The Unit exists to preserve institutional history and serve the academic community Currently, IPB Archives Unit has been incorporated in the Jaringan Informasi Kearsipan Nasional (JIKN National Archives Information Network).
Head of the IPB Archive Unit, Drs. B. Mustafa, M.Lib, said archives have been metaphorically defined as "the secretions of an organism", and are distinguished from documents that have been consciously written or created to communicate a particular message to posterity. In general, archives consist of records that have been selected for permanent or long-term preservation on grounds of their enduring cultural, historical, or evidentiary value. Based on the survey, 30 percent of them are permanent archives, while 70 percent of them needed to be discarded.
Various achievements have been recorded by the Archives Unit IPB namely as the 3rd Winner in National University Archival Institution Competition organized by the Ministry of Education and Culture, respectively in 2009, 2010 and 2012; and 2nd place in 2013.
In 2017, IPB became the 3rd Winner for Lomba Lembaga Kearsipan Perguruan Tinggi Negeri (LKPTN State University Archiving Competition) organized by Arsip Nasional Republik Indonesia (ANRI National Archive of the Republic of Indonesia); The Senior Archivist of IPB, Ir. Setyo Edy Susanto, S.Th.I, M.Pd, was successfully selected as the 1st Winner of National Model Archive; the Archives Unit of IPB was granted the B accreditation by ANRI for University Archiving Unit.
The many achievements made by enabled the IPB Archive Unit to be the model of archiving unit of other universities. "We often accept guests, as apprentice or comparativeestudy to learn on the archival management of IPB. In addition, the archivists of the Unit of IPB many time invited as keynote speaker of archival meetings as well as consultant for the development of archival institutions, "he said.
Currently, to implement its annual working programs the Archive Unit of IPB has some sections, the Acquisition and Archive Management Section, as well as Archive Services and Archival Development. The IPB Archive Unit serves is responsible for the development of all the archival system of all Working Unit of IPB. The Unit also provides guidance and staff development to all functional personnel and managers in IPB Archival Process.
The IPB Archives Unit also processes, stores and services all static archives or permanent archives owned by all Working Unit of IPB by using modern archival management standards and in accordance with applicable regulations.
At any given time, the Archives Unit of IPB provides consulting services on archival processes. Head of Archives The IPB Archives Unit explained that IPB Archives Clinic was opened to provide suggestions and solutions in managing archives. The Clinical Services of the Archives Unit of IPB is served by professional archivists who have been working in various archival jobs. Until now the total number of archivists of IPB are 25 junior archivists and two senior archivists. (Wied)
