IPB University Shares Best Practices in Modern Records Management with Universitas Tidar

IPB University hosted a benchmarking visit from Universitas Tidar (Untidar) to enhance institutional management expertise, knowledge, and quality in the field of records management. The interactive meeting took place in the Creative Room, Computer Center Building (GPK), at the IPB Dramaga Campus.

The Untidar delegation was warmly welcomed by the Chairman of the Information Management and Digital Transformation Agency (LMITD) at IPB University, Ir Julio Adisantoso, MKom, accompanied by the Assistant for Digital Archives and Museum Management, Dr Adisti Permatasari Putri Hartoyo. Meanwhile, the Untidar delegation was led directly by the Vice Rector for Planning, Finance, and General Affairs, Dr Astuty, along with the Chairman of the General Affairs Division, Sopii, SAg, MM as well as archival management staff from the university, faculty, institutional, and administrative unit levels.

The main purpose of this visit was to study modern and efficient archival management at IPB University. Specifically, Untidar wanted to observe firsthand the practices of dynamic records management, successful strategies for digitizing records, and the archival supervision and monitoring system implemented by IPB Archive, as well as to discuss various challenges and solutions in their management.

“We hope that through this visit, Untidar can adopt the best practices in records management at IPB University, particularly regarding the digital transformation of records management,” said Dr Astuty.

Dr Adisti Permatasari Putri Hartoyo presented a comprehensive overview of records management. The discussion session was lively. Representatives from Untidar actively consulted on real world challenges in the field and how IPB University formulates strategic solutions to these obstacles.

To strengthen practical aspects, the Untidar team was also invited on a field visit. The first destination was the IPB University Library to review the facilities and digital services.

After that, the group proceeded to the IPB Archive to visit the IPB Archive Exhibition and directly inspect the physical archival storage facilities at Archives Centers I and II. At these locations, Untidar’s archival managers observed firsthand the preservation protocols and management of historically significant documents owned by IPB University.

This series of field visits concluded with a visit to the IPB Future Museum and Gallery. There, the Untidar delegation had the opportunity to view various historical records, scientific contributions, and memorabilia chronicling IPB University’s journey over the years.

Through this benchmarking activity, it is hoped that the cooperative relationship between IPB University and Untidar will continue to grow stronger.
